Front Office Assistant

Full Time/Hourly

The Front Office Assistant serves as the first point of contact for parents, visitors, students, faculty and staff within the Front Office. This position reports to the Office Manager.

Primary Responsibilities

General Office Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Directs visitors by maintaining faculty and staff directories; giving instructions.
  • Maintains security by following procedures; monitoring visitors, student and staff log books; issuing visitor badges.
  • Support the Extended School Day Program and after school tutoring.
  • Schedule parent teacher conferences.
  • Assist in general office duties as assigned.
  • Log student’s community service hours.
  • Fill vacant position within the Administrative Support Team when necessary.
  • Assist in general office duties as assigned.

Assistant to Admission Office Responsibilities

  • Assist Admission Office with filing, phone calls, data entry, and other tasks as assigned.

Education, Experience, and Key Competencies

  • High School Diploma or GED required; Associate degree preferred.
  • Professional verbal and written communication, organizational and interpersonal skills.
  • Strong orientation toward customer service (both external and internal).
  • Experience answering phones and directing calls in an office or school setting.
  • Proficiency in Microsoft Office Suite; Experience with MAC, a plus.
  • Ability to serve in situations requiring the highest level of discretion and confidentiality.
  • Attention to detail/accuracy, timely implementation, and quality performance.
  • Consistently exercises impeccable integrity, discretion, and judgment.
  • Good problem solving and conflict resolution skills; resourceful.
  • Experience in school setting preferred.

Physical Requirements

  • Ability to lift and carry:
  • Regularly up to 10lbs
  • Frequently up to 11lbs-25lbs
  • Occasionally over 30lbs
  • Ability to balance multiple tasks and duties

Hours

  • Monday – Friday 8:00am to 5:00pm
  • Occasionally, the staff member will be required to participate in certain activities such as afternoon or evening events, or weekend programs that will occur outside of the regular daily hours mentioned above.
